1. Identify the exact cloth.
Record the supplier, quality name, sample date, shade reference and batch or lot reference if available. Photograph the sample label and keep a physical approval swatch. A similar-looking cloth or a collection name is not a replacement for a written specification.
2. Agree the technical specification.
- Fibre names and percentages, with the declaration or test basis.
- Construction, weave and finish.
- Target GSM and its tolerance; state the measurement method.
- Total width, usable cutting width and agreed tolerances.
- For stretch: direction, extension, recovery and test conditions.
If a supplier quotes grams per running metre, use the GSM calculator with the corresponding width before comparing weights.
3. Define approval and testing.
Choose requirements for the intended garment: shade consistency, dimensional change after the agreed care process, colourfastness, pilling, seam behaviour or other performance that matters for the order. Record the test method, acceptance level, responsible party and whether the report relates to the sample or bulk lot. Agree the requirements with a competent laboratory where testing is needed.
Screen colour is only a guide. Agree how physical shade approval is recorded, who approves bulk shade and what happens if it differs from the reference.
4. Make the quotation unambiguous.
Write down currency and price unit: per metre, kilogram, roll or than. For a than or roll quotation, confirm the length and billing basis. Include order quantity, minimum per quality or shade, taxes, freight, packing, payment terms and quotation validity.
5. Confirm bulk release and delivery.
Record the promised dispatch date, destination, packing and labelling, inspection arrangements and handling of shortages or defects. Get the final approved specification and terms into the order confirmation.
